VOIP ONE desktop app — work calls from your PC

This guide: VOIP ONE desktop app for Windows or browser (WebRTC). It covers sign-in, calls, messages, voicemail, caller ID, click-to-call, calling from another device and AI transcription when enabled.

1. What the desktop app adds

Everything you need for day-to-day calling and chat on a larger screen, plus:

  • Click a phone number on a webpage and dial in the app
  • Place the call on your desk phone or mobile while managing contacts on the PC
  • View AI call transcriptions when your admin has enabled them; the app does not record on its own

macOS may be offered from the same download hub. This guide focuses on Windows and browser WebRTC.

2. Install

  1. Get the Windows MSI from the download link your admin shares.
  2. Double-click the MSI and follow the prompts.
  3. Open the app and sign in.

Browser (WebRTC): open the address your admin gives you; no installer is needed.

3. Sign in

Your admin will provide a QR code or login details. Enter your SIP domain and server address, then choose Next. If enabled, sign in with Microsoft 365 in the browser. Otherwise enter your account username (not extension) and password, then Sign In.

4. Calls, messages and voicemail

Calls

  • Use Contacts or Keypad to dial; click a number on a webpage when click-to-call is enabled.
  • During calls use Hold, Transfer, Park and Call Flip as enabled by your admin.
  • Use blind transfer for a direct hand-off; attended transfer to speak first.

Messages

Open Messages, select a conversation, type and send. Use + to start a chat or group. SMS, WhatsApp and voicemail channels appear only when enabled.

Voicemail

Open Messages → Voicemail to listen, manage or delete messages.

5. Caller ID

Before you dial, choose an allowed number in the Call as or From menu. Available numbers depend on your organisation. Use Block Caller ID only when enabled and appropriate.

6. Desktop only: click to call

When enabled, click a phone number on a webpage and choose VOIP ONE. The app opens with the number ready to dial. Your admin may need to enable the browser handler.

7. Calling from another device

Use the desktop app to manage contacts while placing the call on your Yealink desk phone or mobile. Choose the device option shown in the call controls. Devices must be signed in to the same account.

8. AI transcription

When your admin has enabled AI transcription, open the call record to view its transcript. The desktop app does not record calls by itself. Follow your organisation’s retention and privacy policy.
